An established financial adviser and pensions administration business has a requirement for an Office Support & Co-ordinator to assist with the smooth running of the business by supporting Directors in various areas.

Approximately 80% of this position will be focused on assisting directors and staff with the daily running of the business and approximately 20% focused on ensuring equipment and office requirements are maintained, up-to-date and meeting expected standards.

JOB DESCRIPTION

1. Traditional secretarial support to the directors to save them time and improve their efficiency (10% of time approx.)

* Secretarial General - Emails, printing, scanning
* Signing
* Diary - appointments and phone calls
* HR issues - as and when they arise - such as new starters, advertisements, contracts, interviews etc.

2. Secretarial support to other advisers and paraplanners in the business (25% of time approx.)

* Senior Adviser meeting prep and post
* General requests, printing, creating PDFs, file securing etc.
* Researching Bank Credit Default Swaps (1hr weekly)
* Monthly business stats for management information (half day)
* Quarterly Valuation checking (4-5 days per three months)

3. General duties to help run the office and improve efficiency (35% of time approx.)

* Credit searches - new starters / annually for all staff
* Board meeting - preparation, meeting and minutes
* Safe control, stationery
* Office updates - furniture, moves, etc
* Property maintenance issues - utilities, mobiles, H&S
* Printing, binding, PDF and password
* New client enquiry files set up procedure

4. Providing cover and support for reception to allow continuous service to clients (10% of time approx. )

* Provide cover / assistance between 1 and 2, holiday and sickness cover
* Scanning key client documents and answering main reception phone during cover period

5. Providing critical IT support function to Managing Director to release his time and maintain office functioning (20% of time approx.)

* IT - Includes weekly error log, dealing with ongoing issues, liaising between MD and IT support providers and staff.
* Website - update as news and information changes.

SALARY

Annual salary is between £24,000 and £27,000 with a discretionary annual bonus and benefits to be discussed at interview stage. Annual holiday entitlement is 23 days plus Bank Holidays in first year.
